Cancellation and Refund Policy
Effective Date: January 2026
This Cancellation and Refund Policy applies to all bookings, memberships, events, retreats, and purchases made through MindSage Flow, LLC (“MindSage Flow,” “we,” “us,” or “our”). By booking a session, purchasing a membership, or registering for an event or retreat, you agree to the terms below.
General policy overview
MindSage Flow is a small, appointment-based and event-based business. Late cancellations and no-shows prevent us from offering space to others and impact our ability to operate sustainably. For that reason, all cancellations and refunds are subject to the timelines and conditions outlined below.
Private sessions (in-studio or virtual)
Cancellations or rescheduling must be made at least 24 hours prior to the scheduled start time.
If you cancel or reschedule with at least 24 hours’ notice, you may choose one of the following:
Late cancellations
Cancellations made less than 24 hours before the session start time are not eligible for a refund or credit.
No-shows
If you do not attend your scheduled session and do not provide notice, the session is considered a no-show and is non-refundable.
Memberships
Membership fees are billed on a recurring basis as described in the applicable Membership Terms.
Refunds for membership fees are not provided for partial billing periods, unused sessions, or missed visits.
You may cancel your membership in accordance with the cancellation process described in the Membership Terms. Access and benefits will continue through the end of the current billing period unless otherwise stated.
Events, workshops, and in-studio group experiences
Unless otherwise stated on the event registration page:
Cancellations made at least 72 hours prior to the event start time:
Cancellations made less than 72 hours before the event:
No-shows for events are non-refundable.
Some special events may have stricter or different cancellation terms, which will be clearly stated at the time of registration.
Retreats
Retreats require significant advance planning and commitments. Refund and cancellation terms will be clearly stated on the retreat registration page and may vary by retreat.
Unless otherwise stated in writing for a specific retreat, the following general guidelines apply:
We strongly recommend purchasing travel insurance for retreats that involve lodging, travel, or multi-day commitments.
Cancellations by MindSage Flow
We reserve the right to cancel or reschedule sessions, events, or retreats due to low enrollment, instructor illness, safety concerns, weather conditions, facility issues, or other circumstances beyond our control.
If MindSage Flow cancels an offering:
Weather and force majeure
No refunds are provided for cancellations or no-shows due to weather, traffic, personal scheduling conflicts, or other circumstances outside our control unless MindSage Flow cancels the offering.
Refund method and timing
Approved refunds will be issued to the original form of payment whenever possible. Please allow 5–10 business days for refunds to be processed, depending on your financial institution.
Credits and expiration
Any credits issued are non-transferable and must be used within the stated validity period. Unused credits expire automatically and have no cash value.
